VO’s COVID 19 volunteer deployment program is supported by the Government of Canada’s Emergency Community Support Fund and the Ottawa Community Foundation.

Shelter Movers of Ottawa is a volunteer-based charitable organization that provides moving and storage services at no cost to women and children experiencing abuse. We collaborate with community partners to help families transition to a life free of violence. With full capacity with volunteers, training and security in place services provided will be:
Urgent Exit: volunteers arrive at a client's home to help pack and store items. When client is ready, volunteers will transport to a shelter
Escorted Exit: if client is already in a shelter, volunteers will return to the household with security and place items in storage.
Resettlement Assistance: when client requires assistance to move her,her children and their items to the new home.

Every year, in collaboration with community partners, our volunteer teams contribute over 15,000 hours to support people transitioning to lives free of violence and abuse.
Shelter Movers Ottawa has been operational since 2017 and has completed over 500 moves to date. We are growing and looking to add compassionate and committed volunteers to our team.
We at Shelter Movers continue to operate and provide our unique moving and storage services for our clients. We have implemented stringent safety measures in place to protect our volunteers, partners, and clients. While we all do our part to slow the spread of COVID-19 and stay home, we must remember that home is not a safe place for many. Those experiencing abuse may have to spend more time with their abuser in an unsafe, confined space as well as potentially losing their job and the financial independence that comes with it. There have been published articles that highlight mandatory social distancing measures that place individuals experiencing abuse at a greater risk than pre-pandemic, highlighting the importance of services like Shelter Movers.
Position Summary:
As an integral role in the Volunteer Services administrative team of Shelter Movers Ottawa, the Volunteer Services Engagement Coordinator is mainly accountable for developing, implementing retention strategies, and providing support to the Volunteer Services Manager. The goal of this position is to enhance the engagement and retention of our volunteer team.
Key Responsibilities:
- Under the direction of the National Volunteer Services, develop and implement retention strategies, and continuously improve the engagement and experience of volunteers;
- Engage in the production and publication of Shelter Mover Ottawa monthly newsletter, collaborating with other teams. Using Mailchimp to organize, design and distribute the newsletter
- Ensure the profiles of volunteers and database are up-to-date, maintain the mailing list and the subscription status, as well as Manage the mailbox of the Volunteer Service Engagement team;
- Follow up with inactive volunteers, offering solutions to improve the involvement if needed;
- Lead the development and execution of volunteer events, making sure that they align and support the highest purpose, which is enhancing the engagement of volunteers. Some examples of events include trivia night, movie nights, panel discussions;
- Actively support the involvement of volunteers, promptly identify and proactively oversee their issues in terms of participation, then report to the Volunteer Services Manager in order to come up with optimal solutions;
- Regularly update the working progress with the Volunteer Services Manager.

What we are looking for
- A time commitment of at least 3 hours per week and a desire to engage with the team and Shelter Movers Ottawa in long term;
- Ability to apply an anti-oppressive lens to engaging volunteers;
- A long-term interest in the Violence Against Women (VAW) sector, and Volunteer Management/Non-Profit Management;
- Awareness of appropriate boundaries, compassion fatigue, and self-care;
- Be able to maintain the confidentiality of client and organizational information;
- Self-motivated person who upholds a positive vibe and can-do attitude;
- Strong organizational skills with a detailed-oriented mind and reliable work habits;
- Tact, discretion, high maturity level and good judgement;
- An active listener who possesses excellent interpersonal skills, high degree of emotional intelligence, and is able to handle difficult conversations with great patience;
- A team player who can also work independently
- A background in volunteer management, or human resources is an asset;
- Previous experience in volunteer engagement and/or event planning are considered as a strong asset.

* A successful candidate of Shelter Movers must be at least 18 years of age, sign a confidentiality agreement, pass a police reference check, and attend a Trauma-Informed Care Orientation session. As well as additional training for the Volunteer Engagement Role.

Description of Position
Shelter Movers Ottawa provides free moving and storage services to those fleeing abuse in and around Ottawa. We are the only organization of our kind in Canada, and our volunteers are no less exceptional. Every year, in collaboration with community partners, our volunteer teams contribute over 15,000 hours to support people transitioning to lives free of violence and abuse.

We are looking for people who have a keen eye on organization and are good problem solvers. A Move Coordinator is an integral part of the move team, providing coordination of the move beforehand and on-call support on the day of a move. The Move Coordinator ensures all moves go smoothly, that volunteer movers and drivers are recruited, and tackles any unforeseen challenges.

Responsibilities
This role requires hard working professionals with strong communication skills (by email and phone), and an ability to serve clients with patience and empathy while looking for solutions and managing expectations. An ability to remain calm in stressful situations, awareness of compassion fatigue and self-care, and maintaining communication with your team, are essential skills for the Move Coordinator.

As a Move Coordinator, you will be the puppeteer behind a move – the person who puts it together and makes it happen.

Time Commitment
Moves happen all over the city, at various times in the day, throughout the week.

Since Move Coordinators work through email and phone, this is a work-from-home position, with occasional meetings (in-person and/or conference calls.) A 3 to 6 month commitment is strongly preferred.

Requirements
Collect move-related information from clients and referring agencies
Assemble volunteer move teams using a database and e-mail
Coordinate the date/time and other logistics of a move and ensure all clients and volunteers are available
Provide information to volunteers while protecting client confidentiality
Reserve move vehicles and ensure drivers have necessary information to pick up vehicles
Being available during a move to support the move team in the event of unexpected challenges (ie. extending vehicle reservations)
Electronically file client and volunteer waivers
Report back to Move Coordination Manager after each move
Use patience, empathy, and active listening skills in serving people under stress
Being aware of compassion fatigue, self-care, and working safely
Have regular check-ins with Shelter Movers staff

Shelter Movers volunteers must be at least 18 years of age, complete an interview process, attend an orientation for new volunteers, in addition to signing a confidentiality agreement and obtaining a criminal record check.

must remember that home isn’t always a safe place for many. Those
experiencing abuse are enduring more time in isolation with their abuser.
Additionally, job loss and financial insecurity have also become more prevalent
during the pandemic, statistically leading to an increase in gender-based
violence. Shelter Movers has experienced a 30% increase in the demands for our
services since the beginning of the pandemic.


The Fund Development Coordinator, reporting to the Fund Development Manager, will have an integral role in the Shelter Movers Ottawa. The main duties include sourcing and securing various fundraising and sponsorships.

Execute fundraising and sponsorship strategy as dictated by the Fund Development Manager

- Identify and steward major gift donors and manage portfolio of current donors and prospects;
- Support the continued growth of Shelter Movers’ monthly giving program;
- Cultivate and sustain relationships with individuals, corporations,
foundations, and government agencies;
- Manage in-kind donations from local community partners, including
tracking promised visibility;
- Implement an appropriate recognition program for donors and partners

Essential Skills
& Knowledge
Previous fundraising and event planning experience is an asset, but not mandatory;
- Innovation and creativity are highly valued in this position, as well as the ability to work in a virtual space and recommend alternatives to traditional styles of fundraising;
Excellent interpersonal and communication skills;
- Dynamic, outgoing personality with sound judgment and the ability to use discretion;
- Capability to work autonomously when required, and also as a member of a team in a fast-paced environment, while balancing competing priorities;
- Excellent written and verbal communication skills, including proficiency in public speaking and a high comfort level in presenting;
- Strong organizational skills with the ability to multitask and work under pressure to meet tight deadlines.
- Flexible, results and detail oriented;
- Experience in the nonprofit sector considered an asset; must be sensitive and knowledgeable of issues surrounding gender-based violence

Position Summary:
The Intake Coordinator gathers information to support moves to happen as safely and smoothly as possible. This involves answering emails and phone calls, and collecting information using templates. The Intake Coordinator reports to the Intake Supervisor who will then transfer the move to the Move Coordination Supervisor.

This role requires professionalism, strong communication skills (by email and phone), and an ability to serve clients with patience and empathy while looking for solutions and managing expectations. An ability to remain calm in stressful situations, awareness of compassion fatigue and self-care, and maintaining communication with your team, are essential skills for the Intake Coordinator.

Responsibilities:
- Being available during your intake shift to answer phone calls and respond to emails within a set timeframe (2-3 hours).
- Using patience, empathy, and active listening skills in serving people under stress.
- Retrieve all relevant information from Referring Agency and Client
- Follow all processes within the Intake Coordination manual
- Inform the Intake Supervisor when the intake process is complete and a move is ready to be assigned to a Move Coordinator
- Maintain contact to Client and/or Referring Agency to respond to any changes needed prior to move being assigned to a Move Coordinator
- Be available to the Move Coordinator assigned to the moves

Time commitment:
One shift (~8 hours) a week. Please note: an ‘on call’ shift means that the work isn't continuous; it's more a matter of answering messages within a set timeframe during your shift.

This is a work-from-home position, with occasional meetings (in-person and/or conference calls.) A 3 to 6 month commitment is strongly preferred.

Essential skills & knowledge:
- Demonstrate strong knowledge and understanding of Shelter Movers’ policies and procedures.
- Demonstrate ability to maintain confidentiality, provide trauma-informed care to clients, and remain calm during potentially stressful situations.
- Excellent organizational, time-management, problem-solving, decision-making, interpersonal and communication skills.
- Flexible and adaptable to change.
- Tact, discretion, high maturity level and good judgement.
- Experience working with individuals from diverse backgrounds.
- A passion for Shelter Movers’ mission of supporting women and children fleeing violence and abuse.
- No previous education is required.

Assets:
- Ability to speak additional languages.
- Experience in social services, intake coordination, case management, and the Violence Against Women (VAW) sector.
- Previous volunteering experience with Shelter Movers.

Shelter Movers Ottawa provides free moving and storage services to those fleeing abuse in and around Ottawa. We are looking for people who great communicators and love keeping things organized. Scheduling Coordinators recruit volunteers to join move teams, working from SMO's database of active volunteers to create, send, and respond to e-mails. They are the ‘voice’ of Shelter Movers Ottawa in our volunteers' inboxes, sharing opportunities to help with positivity, encouragement, a sense of purpose, and the joy of our work.

Responsibilities:
- Create daily ‘Call to Action’ (e-mail) content to send to volunteers
- Monitor e-mail inbox and respond to volunteers who reply to Calls To Action
- Update the Mover Availability Calendar with volunteers’ availability
- Send and respond to emails regarding scheduling updates
- Following-up with volunteers’ communications with strong consistency and timeliness
- Work with Move Coordination Manager and other Scheduling Coordinators

Time Commitment:
Approximately 8-10 hours a week. Please note: the work of scheduling isn’t performed in a single continuous ‘shift’; it involves communication and responding to messages during your chosen work hours. Based on your availability, you will be assigned a specific day for which you will be responsible to perform the Scheduling Coordinator role duties.

Access to moving and storage services are a significant barrier to fleeing abuse. Drivers use their time and energy to help our clients overcome these barriers. They are the ‘helping hands’ and ’boots on the ground’ that support our clients at a critical moment.

Responsibilities
Meet the volunteer team (including other Movers) at an arranged time and place
Transport belongings to a predetermined location
Maintain communication with Lead Mover and Movers
Respect client confidentiality
Uphold Shelter Movers’ protocols and procedures
Be aware of trauma-informed care when interacting with clients (training will be provided)
Work with private security and law enforcement (led by Lead Mover) when necessary
Children may accompany clients on a move, but volunteers do not provide child care and have limited interaction with children. Child care and supervision is provided by clients or our agency partners.

Shelter Movers’ volunteer move teams are a grassroots response to Violence Against Women in our communities. Join our team!

Time Commitment
We offer flexible scheduling. Drivers can join us on moves based on their own availability by signing up for moves, as their schedules permit.

Most moves average around 4 hours, depending on distance and complexity. A minimum of 2 moves a month is encouraged.

No previous experience or education is required

Must be 21 years old and have a class 5 or equivalent license.
Maturity and good judgement
Ability to remain calm in potentially stressful situations
Ability to be flexible and adapt to changes
Drivers are expected to maintain confidentiality and provide trauma-informed care to clients (training is provided), and have regular check-ins with staff to support continuous improvement.

Les enfants peuvent accompagner les clients lors d’un déménagement, mais les bénévoles ne fournissent pas de services de garde et ont une interaction limitée avec les enfants. La garde et la surveillance des enfants sont assurées par les clients ou nos agences partenaires.

Temps nécessaire à l’engagement :
Nous offrons des horaires flexibles. Les conducteurs peuvent nous accompagner lors des déménagements de deux façons :
● en s’inscrivant pour un déménagement à la fois, dans la mesure où leur emploi du temps le permet, et/ou :
● en s’engageant à respecter un horaire hebdomadaire ou mensuel régulier.
La plupart des déménagements durent en moyenne 4 heures, en fonction de la distance et de la complexité. Un minimum de 2 déménagements par mois est encouragé.

Compétences et connaissances essentielles :
● Aucune expérience ou formation antérieure n’est requise;
● Accès au courrier électronique et au téléphone;
● Être en mesure de soulever un minimum de 20 lb;
● Être en mesure de soulever des boîtes et des meubles modérément lourds avec l’aide d’autres déménageurs;
● Les conducteurs doivent être âgés d’au moins 21 ans;
● Posséder un permis de conduire de classe G2 ou G « complet »;
● Être capable de conduire des véhicules de location (fourgons de marchandises de taille moyenne à grande);
● La capacité à conduire un camion de 16 pieds est un atout;
● Être une personne sur qui l’ont peut compter au travail;
● Être mature et faire preuve de jugement;
● Capacité à rester calme dans des situations potentiellement stressantes;
● Capacité à être flexible et à s’adapter aux changements;
● Posséder d’excellentes compétences en matière de communication verbale;
● La maîtrise d’une deuxième langue est un atout.
Les conducteurs sont tenus de respecter la confidentialité et de fournir des soins aux clients en tenant compte des traumatismes (une formation sera offerte), et doivent communiquer régulièrement avec le personnel afin de soutenir l’amélioration continue.
