The Ottawa Paw Pantry is the area’s dedicated non-profit pet food resource and was established to help prevent the abandonment or surrender of animals when their families cannot afford to feed them.

When your pets have become extensions of your family, you want nothing but the best for them. Giving up a family pet because you can’t provide food is a very difficult experience for both the humans and the animal.

The Ottawa Paw Pantry provides temporary food assistance to qualifying low income pet owners who are currently unable to afford food for their pets and may be forced to give up their pets without food assistance.

Volunteer Opportunities

Organization: Ottawa Paw Pantry
The Ottawa Paw Pantry requires an innovative Outreach Manager to help strategically raise funds for the operations of our organization.

This volunteer team member will be responsible for meeting organization fundraising goals, working towards reaching sustainability. You will be the one to manage planning and processes to secure pet food and monetary donations from our community and Community Partners.

A great asset for an Outreach Manager is their ability to carry projects through to completion, using strong organizational and collaborative skills. The ideal candidate will have great record keeping abilities and the ability to see the organization from a larger perspective.

Responsibilities:
Co-managing a team of volunteers to assist with initiatives and event planning
Plans (with direction of the Executive Director and/or Board) and implements fund development activities of the Ottawa Paw Pantry
Accepts gifts from donors and assures that receipts and thank you letters are sent promptly
Ensure that all events and locations are fully staffed with the required materials at all time, with the assistance of other members of the leadership team
Attends all meetings of the Outreach Committee, and leadership meetings
Assists in the orientation of fundraising volunteers, and committee members
Maintains all donor and fund development records
Works closely with other team leaders to create all collateral materials including, but not limited to, brochures, newsletters, posters, special projects, and annual reports

Requirements:
Fund development experience
Highly comfortable meeting corporate and individual donors face-to-face, and conducting donor phone calls
Strong verbal and written communication skills with the ability to persuasively present ideas that will inspire board members and donors
Enthusiastic about fundraising, with the ability to lead by example and coach others while helping to improve their skills in the realm of direct fundraising
Excellent attention to detail and strong math skills

Working knowledge of a smartphone and Google Docs preferred

Client Relations Coordinators
The Ottawa Paw Pantry is looking for dedicated volunteers to join the Client Relations team.
Working closely with the Client Relations Manager, this volunteer team member will be the Ottawa Paw Pantry’s ongoing point of contact for their own roster of clients, and will review and manage their file on a monthly basis.
Responsibilities
Create a healthy, positive experience when engaging with our clients
Review and update client files in a timely fashion, keeping accurate records of actions and discussions with clients and Community Partners
Take ownership of arising conflict and follow problems through to resolution
Uphold a high standard of respect for clients, other volunteers, and Community Partners

Requirements
A compassionate and judgement-free perspective towards poverty, income inequality, and their contributing factors
A willingness to engage through email and over the phone with marginalized and/or vulnerable members of the Ottawa community
Competence to build and effectively manage interpersonal relationships at all levels of the organization
Experience in providing customer service/support
Strong client-facing and communication skills
Clear understanding of privacy and ability to maintain client confidentiality at all times
Working knowledge of a smartphone and Google Docs preferred

The Ottawa Paw Pantry has two methods of getting food to clients: some require home delivery, and some pickup at a centralized distribution centers.

We are looking for volunteers who would be willing to commit to picking up portions at our storage in Nepean and dropping them off.

The Ottawa Paw Pantry is recruiting for a Client Relations Manager to provide excellent service and to promote this idea throughout the organization.

This volunteer team member will act as the leader of the Client Relations team, overseeing a number of volunteers working as client relations coordinators. This role is critical to the success of the organization and will work closely with the Client Relations Manager, Logistics Manager, and Managing Partners. The Client Relations team is often the first point of contact for new clients and contributes to the overall efficiency of the organization in a respectful manner, while increasing client satisfaction.
Time Commitment: The time commitment varies based on the time of the client cycle. This role will be busier leading into the final two weeks of each month, and averages approximately 4-6 hours a week.

Responsibilities:
Oversee a team of Client Relations Coordinators and Client Intake Coordinator and provide assistance as needed
Maintain contact with client coordinators to ensure clients are contacted on a monthly basis.
Manage the client request sheet with the aid of team members
Act as the primary point of contact between client coordinators and community partners
Keep accurate records of actions and discussions with clients and community partners
Aid in the recruitment process to develop new Client Relations Volunteers and nurture an environment where they can excel, with the help of the Volunteer Manager
Take ownership of arising conflict and follow problems through to resolution
Ensure team volunteers have completed the required training or checks (i.e. Police Record Check)
Control resources and maintain regular communication with the Logistics Manager
Uphold a high standard of respect for applicants, volunteers, and Community Partners by all Ottawa Paw Pantry Volunteers
Continue to improve the client experience by reviewing, creating, and refining policies and procedures

Requirements:
Ability to think strategically and to lead
Build and effectively manage interpersonal relationships at all levels of the organization
Exceptional tact and diplomacy, ability to assess and make decisions on the spot
Advanced troubleshooting and multi-tasking skills
Experience in providing customer service support
Strong client-facing and communication skills
Proven experience as a customer service manager a very strong asset
Working knowledge of Google Docs preferred
