The Friends of the Ottawa Public Library Association (FOPLA) help to support and promote the services of the Ottawa Public Library. Run by dedicated volunteers, FOPLA helps the Ottawa Public Library meet its goal of creating a strong library community in Ottawa.

Through advocacy and fundraising, including our popular used book stores and Mammoth Monthly sales events, FOPLA provides over $300,000 of support annually to the Ottawa Public Library for services and materials not covered by their municipal budget. Volunteer Opportunities

The Friends of the Ottawa Public Library Association (FOPLA) require volunteers to assist with upcoming operations at The Friends’ Bookshop on the ground level of the Main Branch of the Ottawa Public Library.

As a volunteer you will serve customers by selling books, handle the cash register, and make daily deposits. Duties will also involve receiving donations of used books, and sorting and shelving used books. All volunteers will be trained on these procedures.

The bookstore will be manned from 11AM-1PM and 4PM-6PM on Monday-Fridays, 10AM-2PM on Saturdays, and 1PM-5PM on Sundays (excluding the summer months). The bookstore will remain open on a self-serve basis for all other opening hours of the Main Branch.

Language: English proficiency required. Bilingualism is an asset.

Skills Required: Knowledge of books and customer service skills; must be friendly and courteous with the public; must have the ability to follow instructions and guidance and work effectively under pressure; must have the ability to make change; must be able to lift and sort books.

Time Requirement: 3 hours per week

The Friends of the Ottawa Public Library Association (FOPLA) requires volunteers to assist with operations between 10AM - 4PM on Mondays at their used book distribution facility, located at the James Bartleman Archives and Library Materials Centre, 100 Tallwood Drive in Nepean.

Distribution facility volunteers will be responsible for moving and arranging heavy boxes of books (up to 60lbs), book sorting, scanning, shelving, answering telephone calls, assisting and meeting with the public, handling donations and sales, preparing boxes for shipment, and accepting donations of books. Volunteer may also assist with FOPLA's monthly Mammoth used book sale, which occurs one Saturday a month.

Language: English proficiency required. Bilingual (French) is an asset.

Skills Required: Knowledge of books and customer service skills. Must be able to lift up to 60 lbs; must be friendly and courteous with the public; must have the ability to follow instructions and guidance and work effectively under pressure; must have the ability to make change. The ability to work under their own initiative is also important.

A Police record check will be required as volunteers in this role will be handling cash.

The Friends of the Ottawa Public Library Association (FOPLA) requires volunteers to assist with operations at their book distribution centre, located at the James Bartleman Archives and Library Materials Centre, 100 Tallwood Drive in Nepean.

Volunteers at the monthly Mammoth Used Book Sale will be responsible for moving and arranging heavy boxes of used books for sale; helping to tear down and clean up after monthly Mammoth Used Book Sales, which take place one Saturday a month from 10 a.m. to 2 p.m.

Time Required: Approximately two hours at the start of the sale day for setup; customer service and assistance during the sale; cleanup and tear-down after the sale (approx. 5 hours once a month).

Skills Required: Must be able to lift up to 60 pounds; friendly and courteous with the public; ability to make change. A Police record check will be required as volunteers will be handling cash.

The Treasurer oversees the management and comptrollership of the Friends of the Ottawa Public Library Association’s (FOPLA) financial resources.

The Treasurer is appointed by FOPLA’s Board of Directors and is responsible to the President and accountable to the Board for the performance of his or her duties. As a Director and Officer of the Corporation, the Treasurer acts in a position of trust for the community, and is responsible for the effective financial governance of FOPLA.
FOPLA’s mission is to lead a community of friends in support of the Ottawa Public Library through fundraising and advocacy. The Treasurer we seek is a leader who will bring a professional, experienced, and committed financial focus to the work of the Board and our volunteers who sell used books at our 25+ Ottawa area locations.

General Duties

• Attends monthly meetings of the Board and represents the Board as an ex officio member of its Investment Fund Committee;
• Provides financial advice to the President and the Board of Directors;
• Ensures that the Board’s financial policies are followed and may be called upon to develop or amend such policies;
• Is the direct manager of and collaborates with the Finance Consultant, and oversees the management of all FOPLA financial accounts and activities;
• Coordinates the preparation of the annual budget; monitors the budget and provides financial reports on a regular basis;
• Coordinates and supports the annual financial audit;
• Ensures risk management of the FOPLA financial framework and internal control over its processes with transparency and accountability;
• May undertake projects as requested by the President and Board.

Executive Committee Roles and Responsibilities:
• Serves as a member of the Executive Committee;
• Identifies challenges and emerging issues;
• Contributes to FOPLA’s strategic planning process;
• Is a signing officer for payments, Investment Fund withdrawals, and documents such as grants, contracts, and applications;
• Participates in the evaluation of FOPLA staff;
• Promotes good relations with the staff of the Ottawa Public Library;
• Fulfills the fiduciary obligations of a Director of the Corporation.

Skills

• Chartered Professional Accountant with previous experience as a Director and/or volunteer of a registered charity, or of working with a not-for-profit Board in a professional capacity;
• Knowledge and skills in multiple areas of Board governance (policy, finance, programs, personnel, and advocacy);
• Experience in change management, retail sales, e-commerce, fundraising are desirable;
• Financial leadership at monthly Board meetings, Annual Meetings, and other meetings or sub-committees as required;
• Commitment to the work of FOPLA and of the Ottawa Public Library system.

Financial Requirement: Include the cost of FOPLA Membership (at least $25 a year for an Individual Membership or $250 for a Lifetime Membership); possible child care costs while attending meetings.
