The Ottawa Paw Pantry is the area’s dedicated non-profit pet food resource and was established to help prevent the abandonment or surrender of animals when their families cannot afford to feed them.

When your pets have become extensions of your family, you want nothing but the best for them. Giving up a family pet because you can’t provide food is a very difficult experience for both the humans and the animal.

The Ottawa Paw Pantry provides temporary food assistance to qualifying low income pet owners who are currently unable to afford food for their pets and may be forced to give up their pets without food assistance.

The Ottawa Paw Pantry is recruiting for a Client Relations Manager to provide excellent service and to promote this idea throughout the organization.

This volunteer team member will act as the leader of the Client Relations team, overseeing a number of volunteers working as client relations coordinators. This role is critical to the success of the organization and will work closely with the Client Relations Manager, Logistics Manager, and Managing Partners. The Client Relations team is often the first point of contact for new clients and contributes to the overall efficiency of the organization in a respectful manner, while increasing client satisfaction.
Time Commitment: The time commitment varies based on the time of the client cycle. This role will be busier leading into the final two weeks of each month, and averages approximately 4-6 hours a week.

Responsibilities:
Oversee a team of Client Relations Coordinators and Client Intake Coordinator and provide assistance as needed
Maintain contact with client coordinators to ensure clients are contacted on a monthly basis.
Manage the client request sheet with the aid of team members
Act as the primary point of contact between client coordinators and community partners
Keep accurate records of actions and discussions with clients and community partners
Aid in the recruitment process to develop new Client Relations Volunteers and nurture an environment where they can excel, with the help of the Volunteer Manager
Take ownership of arising conflict and follow problems through to resolution
Ensure team volunteers have completed the required training or checks (i.e. Police Record Check)
Control resources and maintain regular communication with the Logistics Manager
Uphold a high standard of respect for applicants, volunteers, and Community Partners by all Ottawa Paw Pantry Volunteers
Continue to improve the client experience by reviewing, creating, and refining policies and procedures

Requirements:
Ability to think strategically and to lead
Build and effectively manage interpersonal relationships at all levels of the organization
Exceptional tact and diplomacy, ability to assess and make decisions on the spot
Advanced troubleshooting and multi-tasking skills
Experience in providing customer service support
Strong client-facing and communication skills
Proven experience as a customer service manager a very strong asset
Working knowledge of Google Docs preferred

The Ottawa Paw Pantry is currently recruiting a compassionate volunteer to oversee incoming applications. This role will consist of reviewing applications in a timely manner, assessing applicant needs against approval criteria and organization capacity, and making final decisions regarding applicant eligibility.
The Client Intake Coordinator role is critical to the success of the organization and will work closely with the Client Relations Manager, Logistics Manager, and Managing Partners. The Client Relations team is often the first point of contact for new clients and contributes to the overall efficiency of the organization in a respectful manner, while increasing client satisfaction.
Time Commitment: The Ottawa Paw Pantry receives approximately 5-7 new applications each week, with each review taking approximately 30 minutes, including contact. The flow of work may vary week to week, but averages 2-3 hours a week.
Responsibilities
Improves the beneficiary experience by reviewing applications in a timely manner
Reviews incoming applications and application questions against approval criteria.
Responsible for following-up with incomplete applications to the best of their ability.
Manages the waitlist
Flags potential conflicts or problems to the Client Relations Manager and aids in finding solutions.
Contributes to the overall improvement of the application and approval process
Keeps detailed and accurate records of actions and discussions with clients and Community Partners
Communicates with the Logistics Manager and Client Relations Manager to determine if we have capacity for new clients to be approved

Access to phone and computer on a regular basis to communicate with incoming applicants
Experience in providing customer service support
Working knowledge of a smartphone and Google Docs preferred

Ottawa Paw Pantry is seeking to fill 3 roles in event and fundraising. We are looking for individuals who are creative thinkers and “go-getters” in an effort to fundraise and create community awareness for the Ottawa Paw Pantry.

Reporting to the Outreach Managers, this volunteer position, supported by a committee, will provide creative and resourceful ideas for new events and fundraising initiatives. These volunteers will:
Show initiative and suggest potential event/fundraiser ideas
Brainstorm and strategize possible community events and fundraisers
Think “outside the box”
Liaise with community partners and fundraising organizers to establish costs, rules, and expectations
Participate in community events, including set-up and take-down of event tent, table, banners, merchandise, etc.

Client Relations Coordinators
The Ottawa Paw Pantry is looking for dedicated volunteers to join the Client Relations team.
Working closely with the Client Relations Manager, this volunteer team member will be the Ottawa Paw Pantry’s ongoing point of contact for their own roster of clients, and will review and manage their file on a monthly basis.
Responsibilities
Create a healthy, positive experience when engaging with our clients
Review and update client files in a timely fashion, keeping accurate records of actions and discussions with clients and Community Partners
Take ownership of arising conflict and follow problems through to resolution
Uphold a high standard of respect for clients, other volunteers, and Community Partners

Requirements
A compassionate and judgement-free perspective towards poverty, income inequality, and their contributing factors
A willingness to engage through email and over the phone with marginalized and/or vulnerable members of the Ottawa community
Competence to build and effectively manage interpersonal relationships at all levels of the organization
Experience in providing customer service/support
Strong client-facing and communication skills
Clear understanding of privacy and ability to maintain client confidentiality at all times
Working knowledge of a smartphone and Google Docs preferred
