Special Olympics Ontario is a non-profit, charitable organization dedicated to providing year-round sports training and competitive opportunities for individuals with an intellectual disability. As part of the international Special Olympics movement, the Ottawa District Community of Special Olympics Ontario is committed to providing much needed physical education programs to more than 600 local athletes. Our programs are operated by over 250 dedicated volunteers.

Purpose:
To maintain and monitor the financial transactions and records of the Community.

Qualifications:
● Some bookkeeping or accounting experience
● Demonstrated capabilities and trustworthiness in financial management
● Ability to create financial statements and budgets and to monitor day to day financial transactions
● Computer and email access is strongly recommended

Duties and Responsibilities:
● Attend all community council meetings and give a financial report including transactions and balance for that period. Submit a written report to be attached to minutes
● Complete year end financial statement and submit to your Provincial Staff Representative during the month of July
● Maintain accurate financial record of the Community’s transactions, including receipts and bank statements
● Act as one of three signing authorities within the Community.
● Issues cheques for volunteer expenses
● Act as a resource to Community volunteers on all financial matters.
● Ensure that proper financial accountability is maintained within the Community and that SOO’s financial policies are adhered to
● With the assistance of the Head Coaches, Community Coordinator and Sport Technical Coordinator (if applicable), prepare and submit all applications for grants to the Provincial office
● With the assistance of the Community Coordinator, Executive Members, and Head Coaches prepare the annual budget for the community
● Review and be familiar with sections 1,2,4,6,12,16 and 18 on the information portal
● Maintain Special Olympics e-mail address that is provided to you if applicable

Time Requirement:
● Two to five hours per week is the estimated time line

Duration of Position:
● Two-year term or as per Community by-laws
Accountability
● To work in cooperation with the Community Council and with the membership
● To submit reports as required to the Provincial Office of Special Olympics Ontario

Orientation and Training:
● Orientation and Training is available through the outgoing Treasurer, and with the Provincial Staff Representative

Court Set-up (pre-event) - Thursday, July 12
Volunteers will assist the Logistic team to set up for the event. Volunteers should wear closed toed shoes for safety.

Court Tear Down - Saturday, July 14
Volunteers may be assigned to various areas of the site. The Logistics Committee will lead and assist with tear down. Volunteers should wear closed toed shoes for safety.

Site Tear Down and Clean up - Saturday, July 14
Volunteers may be assigned to various areas of the site. Volunteers should wear closed toed shoes for safety, bring appropriate gloves if desired.

Shifts:
Court Set up (Thursday shift only) 10:00 AM - 04:00 PM 8 volunteers

Court Tear Down (Saturday evening) 4:00 PM - 08:30 PM 17 volunteers

Site Tear Down and Clean up Bar-Beach 5:00 PM - 9:00 PM 25 volunteers

The Volunteer Coordinator is responsible for administrative duties related to volunteer registration and providing information to new volunteers. The Volunteer Coordinator will liaise with the Volunteer Lead to determine program needs. This is an operational role and attendance at monthly meetings is not required. Excellent organizational and computer skills required, as well as access to a computer.

The Program Liaison will be the main point of contact between the Ottawa Special Olympics Council and the programs. Volunteers are required to have access to a vehicle as this role involves monthly visits to program sites to collect feedback and liaise with sport program volunteers and coaches.
