Volunteer Management


Training offered in these workshops may be used to meet the requirements for renewing the Certified in Volunteer Administration (CVA) credential. One Professional Development Unit (PDU) is awarded for each 50-60 minute session or contact hour in topics related to volunteer resources management. Volunteer Management 101

This introductory session will take you through the volunteer cycle, including planning, recruitment, orientation, supervision, and recognition. You will learn how all of these stages interlink, and how they all contribute to excellent performance and volunteer retention.

Volunteer Recognition

Learn how to use an exciting software program that will allow you to create certificates for your volunteers - certificates that will be recognized by employers across the country as the new standard for volunteer experience. By attending this workshop, you will receive certification on the PREB Ontario online system and a certification which will allow you to print nationally-recognized experience certificates for volunteers.

Assessing Volunteer Performance

Effective performance assessment involves aligning a volunteer’s actions with the strategic objectives of your organization; clarifying expectations; documenting individual performance to support the volunteer’s advancement goals and to clarify communication; and creating focus for skill development. Done well, performance assessment can create a positive and motivating work environment for everyone.

Creating a Volunteer Handbook

A great volunteer handbook is a key foundation in setting up volunteers for success. By clearly outlining policies, procedures, and guidelines for acceptable conduct in a clear way that is engaging to read, you can ensure that your volunteers are able to achieve true excellence. This workshop will teach you how to determine what information you need to include in your organization’s handbook and how to clearly outline the roles and responsibilities of staff and volunteers.

Workshop your Volunteer Handbook

Do you need to create a volunteer handbook, or update the one you already have? A good volunteer handbook should provide all the information a volunteer needs in order to represent your organization with excellence, but it also needs to be written and organized in such a way that the information is accessible and engaging. Bring your handbook-in-progress, along with your laptop, to spend the morning putting together your best handbook yet.

Discipline and Dismissal

Discipline and dismissal, though among the most difficult parts of any manager’s job, are unavoidable. There are ways to do it respectfully, honouring a volunteer’s humanity while ensuring that essential organizational standards are met. This workshop will teach you models which can be used to help a volunteer take ownership of, and solve inappropriate behaviour problems, or facilitate the volunteer’s resignation if problem-solving is not possible.

Engaging Staff to Support Volunteers

Orientation and Training

This workshop will engage Managers of Volunteers and Coordinators of Volunteers in a “best practices” sharing session. Network with fellow volunteer engagement professionals and come prepared to share and learn about strategies to encourage volunteer participation during orientation and training sessions; engaging staff when orienting volunteers, and developing online learning materials.

Volunteer Program Evaluation

Evaluation is an important part of the administration of any effective program - volunteer programs are no exception. Effective evaluation answers questions like, “What kind of impact do our volunteers have?” and “Are we being effective?” which are questions that funders are asking more and more. As all our organizations continue to compete for scarce dollars in a climate of fiscal restraint and demands for increased accountability, we all need to measure the results of our volunteer and program efforts, and demonstrate their effectiveness.

Volunteer Screening

Screening practices begin when an organization creates a new position. It is an ongoing process used to select volunteers for specific roles, and it should continue as long as a volunteer is involved with the organization. The 10 Steps of Screening give clear guidelines for developing screening policies. These policies show an organization’s commitment to safe and meaningful volunteer engagement.

Volunteer Supervision and Monitoring

A good supervisor creates a safe environment for volunteers to learn and develop, to grow with their role in knowledge, motivation, and autonomy. Effective supervision is a mix of supporting growth, providing appropriate praise, creating a culture of excellence and accountability, and reinforcing relationships with all team members.
